RESPONSIBILITIES

Answer
phone calls and direct them to appropriate parties or take messages
·
Maintain
and follow all company policies and procedures
·
Maintain
all standards as required by OSHAS 18001: 2007, ISO 45001:2016, ISO 9001:2015,
ISO 14001:2015, SQAS, RTMS
·
Comply
to all RTSOG Modules and execute them
·
Maintain
the highest level of SHEQ
·
Follow
load report and collate loads completed daily
·
Once
the spreadsheet has been vetted it needs to be sent timeously on a weekly basis
·
Follow
up with missing PODs
PODS are to scanned, emailed to client and hard copy to be filed
in date order Ensure POD’s are stamped and dated by receiving side.
·
Ensure that all file references are received for month end
invoicing.
·
Retrieving archived PODS and emailing to clients upon request
·
Updating vehicle matrix
·
Issue of diesel order numbers
·
Capturing of Toll Slips and file.
·
Perform other related duties as required.
·
Meter Reading on the 13th of each month.
·
Perform
general office duties such as ordering supplies and maintaining records
management database system
·
Creating
purchase orders on SAP
·
Follow
up with outstanding supplier invoices
·
Checking
supplier invoices received have the correct details as tax requirements
·
Assist
with closing off of suppliers on SAP
·
Updating
of driver timesheets, requesting gate passes from yard manager and pulling
times from tracking system in to update the driver timesheets
·
Update
tracking system with the diesel usage for the month, update services
·
Request
vehicle KM weekly on vehicle service report
·
Assist
with ensuring that all license discs are up to date
·
Be
able to provide information in managers absence
·
To
complete any adhoc duties that is requested by Directors , manager or executive manager
QUALIFICATIONS, EDUCATION AND SKILLS REQUIREMENTS
·
Matric
·
Related qualification
·
2-3 years administration experience
·
MS Office packages (Outlook, PowerPoint, Excel and Word)
·
Bookkeeping skills
·
Analytical and problem-solving skills
·
Decision making skills
·
Effective verbal and listening communication skills
attention to details and high level of accuracy
·
