Leasing and Finance Administrator- job post

Job Duties/Responsibilities will include:
Administration and control of all mandates, ensuring all are sent, signed, returned and held on file.
Monthly follow up to ensure that all landlord/developer vacancy schedules are received and captured.
Note major changes in vacancies and advise brokers thereof.
Check company web site regularly to ensure that vacancies are pulling through.
Answering of all incoming calls and directing to appropriate brokers
Administrative support
Keep updated database of all concluded deals. Notify Brokers of any upcoming renewals.
Taking minutes during Broker meetings and distributing.
Complete Offer documents for Brokers
Follow up with clients to obtain signed Offers, leases, FICA and Credit vetting.
Prepare Commission calculation and Invoice Request forms
Check accuracy of FICA and forward to Broker Manager for approval.
Save FICA on appropriate system as defined by the Company from time to time.
Follow up on payments from landlords and developers.
Arrange for To Let /For sale boards to be erected and removed as requested by brokers.
Ensuring that all Municipal bylaws are followed.
Maintaining a detailed, photo based list of where each board is located.
Candidate Requirements/ Experience:
Grade 12, preferably with a secretarial and/or marketing diploma
Skills required:
Typing of various documents and spreadsheets.
Computer literacy (Advanced MS Office, Contract Creation and Procurement system),
Strong telephonic skills
Sound administration skills.
Strong organizational skills.
Knowledge of relevant Company policies and procedures; basic commercial and industrial property knowledge would be advantageous.
