Key Responsibilities

Customer Service

· Verify customer and order information for correctness, checking it against previously obtained information

· Respond to customer complaints and queries within 24-hours of receiving them

· Always keep customers and colleagues (including Site Foreman/Managers) informed of progress

· always ensure good and professional relationships with customers and colleagues

Continuous Improvement & Teamwork

· Identify opportunities to improve procedures within own area of responsibility

· Perform tasks in the most cost-effective manner

· Work with the rest of the team (company) to achieve the common goals and to complete tasks

Delivery Notes

· Generate delivery notes through the Pastel system with info received from fellow colleagues

· Print Delivery Notes from the Pastel system plus system related copies

· Attached drawings to the Delivery Notes

· Place order on products required as and when required

· Add to the Delivery Notes generated list and file in the relevant tray(s)

Purchase Order’s (PO’s)

· Generate PO’s as requested

· E-mail generated PO’s to suppliers

· File all PO’s in job related files

Pricing

· Obtain pricing as and when requested to do so by any team member

Ad-Hoc duties

· Ensure all Roof Certificates are filed within 24-hours of receiving them, including the low cost certificates

· Ensure general filing is done daily

· Assist the Design team by doing filing of all those documents

· Provide administrative support to the rest of the Design team

· Ensure all customer orders are filed as soon as received

· Open files for all jobs received and in process

· Distribute blue (site) files to Site Foreman/Managers as soon as possible

Site Certificates

· Ensure all delivery notes are produced for relevant Site Certificates and hand to the Project Manager as soon as possible upon receiving and processing thereof

· Always keep the low-cost schedule up to date and ensure distribution thereof to the Managing Director and Finance Manager on a weekly basis

Attributes, Skills, Experience & Qualifications

· Grade 12 or Senior Certificate

· 2+ years’ Administration experience

· 2+ years’ Roofing and/or Building industry experience

· Pastel (Partner)

· Professional

· Accurate
