Mahle Aftermarket Branch in Gauteng, has a vacancy for a Sales Operations Administrator
Your Role & Responsibilities
Conduct payment and sanction controls
o Create and maintain customer master data with necessary approvals and customer details. Including set up of credit limits.
o Enable customers in electronic ordering incl. TecCom, MAHLE E-shop, MCCP
o Handle and process all customer enquiries, questions and complaints
o Monitor status of customer offer and sales potential
o Process manual customer orders and check order entry (incl. marketing material and free of charge orders)
o Manage sell out of obsolete material
o Solve Master Data conflicts
o Create delivery notes, picking and packing lists according to the delivery schedules
o Plan and organize transport according to consignments
o Conduct import customs clearances and generate customs declarations
o Create export and shipping documents
o Manage and notify customer delivery status and performance
o Process and manage returns
o Create invoicing, debit and credit notes
o Conduct receivables controlling, managing credit limits/holds
Processes, Governance and Compliance
o Adhere to business process within operational area in line with the Excellence Organization.
o Responsible for high Customer Relationship and Satisfaction.
o Actively supports activities in Manage Customer Relationship and Acquire Business process (C2)
o Deploy methods and tools for sales excellence and customer relations.
o Adhere to organization’s policies, compliance regulations and applicable laws
o Cross-Functional Activities
o Communication with product management and purchasing teams to ensure customer orders are fulfilled within time and a high level of delivery
performance
o Liaise with and support Sales Managers in the field.
o Regular communication with the warehouse teams to ensure orders are processed, picked and shipped on time.
o Close interaction and cooperation with Sales and Sales Administration for order fulfillment and completion in a timely manner adapting total customer
satisfaction.
o Ensure credits are managed and coordinate with Sales Administration and the financial department for swift resolution.
o Strive for continuous improvement by developing business opportunities to enhance revenue generation and increase operational efficiency
o Additional Responsibilities
o Keep customers informed of order progress, delays or early fulfilment to manage expectations.
o Offer customer with sales opportunities with all MAHLE products and services.
o Advise, communicate and increase awareness of any promotional and marketing activities.
o Encourage customers to use MAHLE E-Shop, electronic ordering and MCCP.
o Receive and appropriately handle total customer satisfaction and expectations; technical and general customer care and marketing enquiries, application
data, cross referencing, all product information of a technical nature, pricing, availability including finding out when parts will be available if not, any
complaints and appropriate deep diving into why with accurate data code recording. Coordination with all support departments is essential.
o Handling accounting issues, any service concerns, identifying improvements, arranging technical training and workouts, point of sale information, current
promotional items: all in conjunction with the Sales Manager.
o Work closely with Sales Administration to manage and arrange customer stock cleanses and returns.
o General administration duties including filing, photocopying, record keeping, post etc.
o Internal customer services – transfer calls to correct department, take messages, arrange travel and meeting facilities on site.
o Interfaces
o Interface closely with sales managers, sales administration to ensure a customer high level of customer satisfaction
o Interface with product management and purchasing to ensure a high customer delivery performance
o Interface with Technical Service to complete customer enquires in a timely manner
o Interface with the warehouse to ensure delivery schedules and maintained
Technical competencies:
5+ years of experience in customer services function in automotive
and/or automotive aftermarket
Experience with , products, sales channels, and
customers
Technical vehicle and product knowledge.
Local market knowledge and car parc with motor factors parts
understanding is desirable
A complete total customer satisfaction mindset with proactive
approach is essential
Be able to manage high call volume with efficiency, adaptability and
resolution
Sales focused/orientated to satisfy customers needs, expectations
and make that call count, sales impact/achievement
Behavioral competencies:
Team Player and problem solver
Good telephone manner, including and unusual accents and excellent
manners
The ability to self-motivate an and be proactive is essential
Diplomacy, confidentiality and reliability are key skills
Enthusiasm and effectiveness as a team member will be crucial.
Investigative and problem-solving skills will be an everyday requirement
Working knowledge of SAP
Knowledge of Microsoft Packages including Excel and Word are essential
Computer literate
