Minimum requirements for the role:
Minimum matric qualification is essential for this role.
The successful candidate must be computer literate and ideally have experience working on PASTEL PARTNER or XPRESS or a related ERP system.
Previous experience having worked as a Receptionist or in an Office Administrator role or related role managing the reception as well as all office administration is essential.
Must be able to multi-task and have good communication skills as the person will be liaising with Customers.
The successful candidate should have a confident and likeable personality being able to build relationships both internally with Colleagues and Customers.
The successful candidate will be responsible for:
Answering the switchboard, transferring the calls to the relevant person and taking a message when unavailable.
Assisting with any personal assistant duties to the Managing Director and Sales Manager.
Keeping stock and placing orders for promotional goods, stationery, groceries, and consumables.
Keeping control of samples by ordering samples, stock control, despatching samples to customers and updating the sample register.
Completing the relevant documentation for couriers in order for them to collect deliveries.
Completing the shipping agent reconciliations by reconciling the invoices back to the suppliers statement and pastel, getting shipping to sign off and handing it over to accounts for payment.
Emailing credit applications to new customers and phoning/email for trade references.
Getting new accounts authorised by management and adding the new accounts onto pastel.
Completing credit applications for new supplier accounts, getting management to sign off and emailing it back to the supplier.
Receiving orders from customers and sending a quotation within a reasonable timeframe.
Following up on deliveries, collections and proof of deliveries.
Processing invoices and following up on short payments or over payments.
Salary package, including benefits, is highly negotiable depending on experience gained.
