Overview:
Are you looking to join a Global Company, supporting HR Operations Administration processes, working within an energetic and collaborative team?
We are looking for an extremely confident, professional and energetic Administrator to join our winning team, working with various countries around the globe. You would be working in a fast-paced environment and will need to have a passion for delivering an excellent service.
Typically working as part of a small team, responsible for administrative tasks that enable the effective operation of the department. Provides effective support to all internal and external clients. Works under the supervision of a senior team member. Delivers in own area and contributes to overall departmental goals.
Responsibilities:
Provides general support to dedicated account teams
Works closely with Engagement Teams, Finance and Operations
Support the department and delivers in assigned work, contributing to overall departmental goals, policies and procedures
Contributes to the successful completion of department projects
Acts as a link connecting departments, clients and employees
Maintains databases, creates reports and records
Create or maintain tracking spreadsheets; ability to work with budgets, forecasts and projections
Provides support in connection with the preparation, collation and distribution of documents
Responsible for maintaining and creating a variety of reports
Documents meeting minutes and follows up on actions.
Resolves straight forward problems and escalates issues with suggestions for further investigation and options for consideration as required
Support Finance team by running pre-invoice month end and reconciliation checks
Main Point of Contact for Contractors, resolving queries and escalating issues where necessary
Documents onboarding and offboarding processes, among others and ensures they are adhered to, performs data capturing as required
Maintains the status of personal responsibilities and works across teams to achieve department goals.
Maintain contractor annual leave data
Plans and manages own time and work, contributing to overall on-time goals
Ensures Timesheets are completed and submitted on time
Approves and reconciles Timesheets
Assist with drawing up contracts and Statement of Work (SOW's)
Qualifications:
Matric
An undergraduate degree or equivalent experience is preferred
Skills:
Shows genuine interest in the business and clients, understands how the business can contribute to clients
Professional attitude, experience in treating stakeholders with respect and dignity
Open to the possibility of change and considers ways to implement and adapt any changes in own role
Excellent communication skills, communicating effectively across multiple stakeholders, with an appropriate level of detail, using language that connects with different audiences
Comfortable supporting a demanding and dynamic team
Able to build and maintain good relationships with internal teams and external contacts
Ability to work without supervision
Excellent time management skills
Ability to handle confidential information
Technical:
Able to work on multiple systems
Good understanding and experience with Excel. Able to produce reports
Good numerical skills
Strong office administration skills and attention to detail
Good knowledge with MS Office suite of programs, in particular Excel, PowerPoint, Word and Outlook
Experience:
2 to 3 years experience working in an administrative role, creating and maintaining tracking spreadsheets
Experience working with budgets, forecasts and projections
