Job Duties/Responsibilities will include:
Warmly greet clients, walk them to the proper beauty station and inform assigned beauticians of their arrival
Provide guidance to clients on the procedures at the spa
Answer telephone calls and provide accurate information to clients
Book and confirm appointments via phone and email
Process transactions (cash and credit cards) and issue receipts
Offer beverages and chat with clients who are in the waiting area
Welcome walk-ins, answer questions about services, and schedule appointments based on availability
Inform clients about new services and discounts
Introduce new beauty products to clients and educate them on their uses and benefits
Assist in getting client feedback on the level of services delivered in order to improve on service delivery
Cross-sell services and products when appropriate (e.g., through informative brochures and gift cards)
Update client records with contact and billing details, appointments and services offered
Maintain a tidy reception area
Order business cards, brochures, and stationery as needed
Make sure that all displays are presented fresh, clean, and eye-catching.
Follow up on pre-payments for spa products and treatments
Processing and packaging online sales including booking courier etc.
Handle all reservations & events enquiries (email/telephone/guests/site inspections)
Return telephone calls of guests who left a message within 15 – 20 minutes upon receipt from receptionists
Manage quotes, invoices, and payments for special holidays like Christmas, Mother’s Day, and Valentine’s Day and ensure pre-payments have been received
Coordinate with the Front Office team with regards to helicopter landings with helicopter companies and the security team with guests flying into lunch at the restaurant.
Finalize menus for functions with guests and the Head Chef
Continually following up with reservation and event inquiries and making sure Dineplan is up to date with all reservations
Confirm all lunch reservations via telephone and email (if guests do not answer) from 10h00 until 11h00 daily and dinner reservations from 13h30 until 16h00
Create deposit payments for daily restaurant bookings (non-residents)
Change finalizing of menus with the head chef to restaurant manager
Upselling of both spa and restaurant half day full day packages
Candidate Requirements/ Experience:
Matric
A relevant diploma in aesthetics will be an advantage
Preferably 2 - 3 years experience in reservations/admin and spa receptionist
Familiar with Schedule Spa reservations system will be an advantage
